Timetabling for language schools

Timetabling software for language schools

Rollbook timetables group classes the way a language school runs them: by CEFR level, term, teacher and room. Set up a class once and every lesson of the term appears, with your holidays skipped. If a teacher or a room is already booked, the save is refused and the clash is named.

  • Lessons for the whole term from one weekly slot
  • Teacher and room clashes refused before they happen
  • Each teacher sees their own week on their phone

No card needed · Unlimited teachers and students · £49 a month, flat

Build the term once

Set your terms and holidays once and use them everywhere. CEFR levels A1 to C2 are there on day one. Create a course, then a class group with its level, term, teacher, room, capacity and one or more weekly slots.

Saving the class group fills the term with its lessons and leaves out the holidays. You do not copy a week forward or re-enter a lesson for every date.

Clashes are refused, not found on Monday

Every save that would double-book a teacher or a room is refused, and the message names the clash, such as "Room 2 is used by B1 Evening at 18:00 on Tuesday". A teacher clash can never be overridden. A room clash can be, by an owner or admin, and the override is recorded in the audit log.

Room capacity is checked against enrolments, so a class does not quietly outgrow the room it is in.

Change one lesson or the rest of the term

Open the week view and filter it by teacher, room or level. Click a lesson to move it, cancel it with a reason or put a substitute on it. Moving and cancelling ask whether the change is for that lesson only or for it and every later one in the term.

Teachers see their own week

Each teacher signs in to Today and My week, with their own lessons and nothing else. They can also add a private calendar link to their phone, so the week shows up in the calendar they already use. Teachers never see invoices or private fields.

What it does not do

  • Rollbook does not work out a timetable for you from a list of constraints. You place each class, and it checks every save.
  • It does not yet stop one student being enrolled in two class groups that meet at the same time.
  • It is built for group classes by level and term, not one-to-one lesson booking or a university timetable.

Questions

Does it skip school holidays?

Yes. You enter each term with its holidays, and the lessons Rollbook creates for the term leave the holidays out.

What happens if two classes need the same room?

The save is refused and the clash is named. An owner or admin can override a room clash, and the override is recorded. A teacher clash cannot be overridden.

Can teachers see the timetable on their phone?

Yes. Teachers sign in to see their lessons for today and the week, and each one can add a private calendar link with only their own lessons.
